What to expect upon contacting our office:

  • One of our administrative staff will be in contact with you to collect demographic information, conduct a brief triage to gather clinical information, and provide you with information about our scheduling processes.
  • This information will help our providers create a Good Faith Estimate (GFE) based on your individual needs.
  • You will then be matched with the appropriate provider, and our administrative team will get you scheduled.

  • Although we do not accept other insurances, we have flexible financing with monthly payment options through CareCredit.
  • We provide a Good Faith Estimate (GFE) at the outset so that you can check with your insurer about out-of-network benefits. Please see “How do I pay for my appointment?” for more information about how to submit for reimbursement after the evaluation.

At the end of services, we:

  • Reconcile the estimate you paid with the actual time used. You may receive a refund for any overpayment, or in rare circumstances, an additional amount may be due, which will always fall within the maximum of the Good Faith Estimate we provide.
  • If you are registered for the patient portal, you can find a financial summary with all the information needed to submit for insurance reimbursement based on your out-of-network coverage. If you do not have a portal or require additional assistance, the administrative team is happy to support you.

We will give you a Good Faith Estimate (GFE) prior to your services. Payment is due at the time of service. If you are registered for the patient portal, you can find a financial summary with all the information needed to submit for insurance reimbursement based on your out-of-network coverage. If you do not have a portal or require additional assistance, the administrative team is happy to support you.

Clinical neuropsychological evaluation:

  • Service codes are time-based, and each person’s needs are different. Time includes record reviewing, interviewing, testing, scoring, analyzing, and communicating results.
  • One of our providers will review the clinical information in your referral and estimate how much time will be needed for each aspect of your service. We will provide a GFE to you detailing this. You will be able to use this information to check on how much would be reimbursed by your insurance company.
  • Payment is due at the time of your appointment.
  • If we do not need as much time as we anticipated in the GFE, we will refund any overpayment.
  • Occasionally, we learn something about you during the process that might change our estimation of what is needed to completely address referral questions. If this happens, we review it with you to determine if an adjusted estimate is agreeable or if we should stay within the original estimate and focus the scope of the evaluation. In most cases, we provide a “Maximum GFE,” which would be the initial maximum estimate that we would not exceed without discussion with you in advance.
  • Once we have completed the entire service, the provider will finalize the report and billing for the admin team to process. The final consult report will be shared with the patient and with the third-party payer as applicable. See “Who will get my report?” for more details.

If you are looking into your out-of-network benefits through your health insurance in Maine, you can refer to the BUREAU OF INSURANCE - Chapter 850: HEALTH PLAN ACCOUNTABILITY Section 7B and 7C. This goes over reasonable access to in-network providers; depending on how long you have to wait to see an in-network provider, you may be able to discuss with your insurance company being reimbursed at in-network rates for seeing our out-of-network providers if we can get you in sooner.

Note: The process is different for forensic evaluations and workers’ compensation evaluations where the patient is not the payer. We also sometimes work with other third-party payers, such as vocational rehabilitation.

  • Interview with you and sometimes with others who know you well, such as parents or a spouse, where your provider discusses why you are being seen along with pertinent history.
  • Either on the same day or another day, testing, where you meet individually with a neuropsychometrist or your neuropsychologist to complete cognitive, psychological, and/or educational testing, depending on the type of services you are having. This can be done in one day, taking anywhere from an hour to several hours, or is sometimes divided into two days. You will be advised as to the anticipated duration of your testing so that you can plan.
  • At a later date, sometimes the same day, there will be a discussion of findings, where you receive your results and your provider’s interpretation of testing along with any diagnoses and relevant recommendations. The length of time between the testing and discussion of findings will depend on individual factors, but we aim to get results back to you as soon as possible.
  • After your appointment, a report detailing your services will be sent to you. You can share this report with any of your other providers who might want to see it.

The process for forensic neuropsychological evaluation is somewhat different and varies by type of forensic referral. Please see “Who will get my report?” for more information.

  • While varied, testing typically consists of your provider and/or a neuropsychometrist/testing assistant asking you questions and having you complete paper-and-pencil tasks, puzzles, computer tasks, and questionnaires that ask about symptoms, mood, and behavior.
  • Sometimes we may test academic skills such as reading and math.
  • As needed, we will test vestibular and visual functions, such as balance, coordination of head movement and eye movement, visual tracking, etc.
  • Testing is not medically invasive — no needles, etc. — but it does require your active participation throughout. Testing will ask you to flex your thinking skills, and it is important that you give your best effort so that we can get the most accurate results possible.
  • Breaks are offered as needed, including time for a lunch break if your appointment spans the lunch hour.
  • If we propose a lengthy appointment to meet your evaluation needs and you feel that you may need shorter appointments, please ask us about that during the scheduling process.

  • Except in certain circumstances, which are detailed in our consent forms, we are only able to release your report and/or records with your permission/authorization.
  • In most, but not all situations, again detailed in the consent forms, you will receive a copy of the completed report and, with your permission, we will send a copy to your referring provider as well.
  • Once you have your report, you are welcome to share it with any and all providers, or others, as you wish. In fact, it is recommended that you share your report with any providers involved in your care, as that generally facilitates the best coordination of care and best outcome for you.
  • In workers’ compensation cases, your report, along with a work note, is also sent to your adjuster and case manager.
  • If it is your child who received services and you need a specific note for school, we will provide this to you along with the full report so that you can share it with the school.
  • It is in certain legal situations that you may not receive a copy of your report, such as a section 312 exam or an examination completed through State Forensic Services.

  • NCMA is accepting legal referrals including civil and criminal matters. Please contact our office with case information. We will then coordinate retainer, medical records, and examinee scheduling.
  • While most forensic cases will be considered, we do not provide forensic evaluation for child custody/parental capacity. We have worked on cases involving custody and parental capacity matters where we provide neuropsychological evaluation to understand diagnosis and/or abilities, but we do not opine on the legal questions, instead deferring that to the forensic psychologist addressing those questions.

  • Please contact our office to report if you have been exposed to someone who has COVID or the flu.
  • We will review every situation on a case-by-case basis and may recommend changing your appointment to a remote visit or rescheduling your appointment for another time.
  • In some cases, we may still see you in person and use additional safety precautions during your appointment.
